Camper Application & Referral Process
Registration Process & Timeline
Camper registration for summer camp begins in January each year. Campers already part of the Camp Heartland community receive priority in placement for summer camp sessions, however, each year many new children are welcomed. Children may be referred and registered by individuals or agencies. New referrals are always welcome! If you are interested in referring a child into the Camp Heartland program and the child meets the criteria outlined below, please contact Megan, Registrar, at megan@campheartland.org or call her at 1-888-216-2028 ext.16.
Eligibility Criteria:
In order to be considered into the Camp Heartland program, children must meet the following criteria:
1. All children/ youth must be between the ages of 7 and 15* (at the start date of any camp session).
2. All children/ youth must be either living with HIV/AIDS (the child/ youth has HIV or AIDS) or someone in the child's/ youth's household must be living with HIV/AIDS (a parent, guardian, sibling or other family member that lives with the child/ youth).
3. All children/ youth must have an understanding as to why they are attending a session with Camp Heartland. This means that a child/ youth must either know his/her own HIV/AIDS diagnosis or the diagnosis of a family member who is living with HIV/AIDS. Camp Heartland staff will raise and discuss the topic of HIV/AIDS (and related issues) in a variety of programs and activities.
* If you have a child 16 or 17 years of age that has been to a Camp Heartland session in the past, s/he will receive information in the near future about the leadership programs.
Registration Fee:
Families whose children are invited to a specific summer session will be requested to pay a registration fee. The fee is a $50 registration fee for one (1) child and $100 for two (2) or more children (from the same family). Camp Heartland understands that many families may struggle financially to pay this fee. Any family experiencing financial hardships is encouraged to contact the Camp Heartland office after registering their child/ children. A sliding fee scale and scholarships may be available.
Contracted Agency Registration:
Camp Heartland works with agencies interested in sending small to large groups of children to camp through a coordinated process. Agencies can arrange a contract to ensure their clients attendance, as long as the registration process is followed fully. Agency contracts and fees can be discussed with the Medical & Client Services Manager, Darlene Baker at Camp Heartland.

All Pre-registration materials due

Summer Invitation Letters mailed to families and agencies
Registration materials will be sent with the Invitation Letter (due back by April 7th)
April 2005
All registration materials for children due
April/May
Confirmation Letter, Family Handbook and Travel Information to children/families with
completed and returned registration materials
May/June
Families contacted with final materials and travel plans
